Control the drawing version

Identify the roof plan and elevations used for the takeoff, including their date. Mark additions, porches and detached structures that belong in the order. Ask who will verify the drawing against the actual building. If a roof plane or opening changes, send the revision to everyone working on quantities before treating the earlier estimate as final.

Separate quantity types

Keep field tile quantities apart from lengths and counts for hips, ridges, edges and special pieces. Identify the unit used on every line. Record the selected product’s coverage basis beside its quantity rather than relying on a generic conversion. Ask the estimator to make cutting, handling and retained spare-stock allowances visible instead of combining them in an unexplained total.

Locate unusual pieces

Give each special fitting a location on the roof plan and a matching item number on the order. Include the requested color or finish and any handed or directional version. The owner need not calculate every fitting; the useful check is whether each unusual roof junction has a corresponding item or a clearly described fabricated detail.

Confirm the supply sequence

Review which items are stock, made to order or still awaiting selection. Ask the supplier for current availability by item, since one missing fitting can affect completion even when field tiles have arrived. Put expected delivery dates beside the installation activities they support. Name the person who will approve and document any proposed substitution.

Reconcile orders and deliveries

Keep ordered, delivered, installed and spare quantities in separate columns. Photograph readable labels and retain delivery tickets. Report discrepancies through the agreed purchasing contact before material becomes mixed with other deliveries. At closeout, turn the reconciled schedule into a replacement reference, including the supplier and product codes for the small components as well as the main tile.
