Establish the baseline
Collect the roof’s product information, installation or repair dates, photographs, warranties and contractor contacts. Identify the roof slopes and major details on a simple diagram. Note known uncertainties, such as an unidentified historic tile or an area that has not been inspected. A useful record distinguishes confirmed facts from assumptions.
Record observations consistently
Arrange professional inspections at intervals appropriate to the roof, site and warranty, with additional assessment after significant weather or nearby work when warranted. Owners can note visible changes from the ground: displaced tiles, unusual debris, staining or gutter overflow. Use the same viewpoints over time. Do not walk on clay tile to perform an informal check.
Close out every repair
Keep the diagnosis, photographs, approved scope, products used and completion record together. Label spare tiles with their manufacturer or identification notes and storage location. Record changes to penetrations, flashing or adjacent equipment, not just field-tile replacements. When the building changes hands, pass the file to the next owner so maintenance starts from a documented history.
