Identify the proposed products
List field tile, starters, hips, ridges, verge pieces and other accessories using exact manufacturer names and product codes. Include finish and blend selections. Attach current technical sheets and clearly mark the proposed options. A brochure containing many unrelated products should not leave the reviewer guessing which one will be supplied.
Connect the system details
Include the applicable installation instructions, underlayment information, attachment method, flashings and relevant approvals. Identify roof slopes, substrate conditions and project-specific details that the documents must address. Have the responsible designer resolve conflicts and gaps. A collection of individually acceptable components does not automatically establish that they form an approved assembly.
Make review and changes traceable
Number the submittal, date it and record its approval status. Retain physical samples or photographs identifying approved appearance. If an item changes, show the revised product and explain effects on coverage, weight, attachments, accessories and warranty. Keep the final accepted set available to the installer and include it in the owner’s handover file.
